The decision
Why Universal Hospital chose Healthray
Universal Hospital needed a more integrated way to manage its clinical and administrative workflows. The hospital chose Healthray to connect patient records, laboratory, imaging, pharmacy and billing workflows in one system.
Morning OPD is usually very busy, so the system needs to be fast. I need old consultations, reports and medicines quickly while seeing the patient. Healthray shows all this on one screen, and even when lab or pharmacy updates come in, they reflect in the same patient record, so I don’t have to ask staff for old files. It saves my time during consultation.

The hospital
A hospital facing coordination challenges across departments
Universal Hospital provides diagnostic, treatment, surgical, chemotherapy and transplant services across multiple departments. Its infrastructure includes critical care units, CT/MRI facilities, an in-house blood bank, a cath lab and a modular operation theatre for transplant procedures.
These services require teams to share patient information and work across departments. Paper-based documentation and disconnected departmental systems made information harder to access, while surgical teams manually tracked OT schedules, pre-operative approvals and post-operative updates. These processes created delays and made it harder for teams to work efficiently.
The problem
Four operational gaps affecting hospital care
-
01 – Paper-heavy documentation
Staff relied on paper records and manual documentation, increasing administrative work and physical record storage. Doctors also spent more time managing records.
-
02 – Disconnected departmental systems
Departments used separate software, leaving patient information scattered across systems. Duplicate entries and delayed updates made patient history harder to access.
-
03 – Manual surgical coordination
OT schedules, pre-operative approvals and post-operative updates were handled manually. This made it harder for surgical teams to keep procedures and related updates aligned.
-
04 – Manual patient onboarding
Patient registration involved manual data entry and verification, adding extra steps before patients could proceed with care.
The solution
How Healthray helped Universal improve hospital workflows
-
01 – Electronic Medical Records (EMR)
The information about patients was transferred from paper-based charting into EMR processes, providing quicker access to patients' medical history, lab results, and diagnostic imaging.
-
02 – Integrated Hospital Information
Information from different departments was brought into a shared system, reducing duplicate entries and making updated patient information easier for teams to access.
-
03 – Surgical Management
OT schedules, pre-operative approvals and post-operative updates were managed through a connected workflow, helping surgical teams coordinate these activities more effectively.
-
04 – Digital Patient Onboarding
Digital forms and automated verification were introduced into the registration workflow, reducing manual steps.
The setup
From data migration to team adoption
Universal worked closely with the Healthray implementation team to transition its hospital operations to the new system.
-
Data migration
Existing data transferred
Universal’s existing data was migrated to Healthray.
-
System integration
Departments connected
Clinical and administrative workflows were brought into one connected system.
-
Team onboarding
Staff trained
Teams were trained on the configured workflows for daily use.
The results
Results from Healthray implementation
Universal's implementation of Healthray led to measurable improvements in patient flow, onboarding, clinical efficiency and record management.
-
90% reduction in paper usage
Switching to digital record-keeping brought down the usage of paper in terms of quantity from 2,000 sheets per day to 200 sheets, which is a 90% saving in terms of cost that comes to ₹8 lakh per year.
-
25% higher clinical efficiency
Unified medical records and faster access to clinical information contributed to a 25% increase in clinical efficiency.
-
45% shorter patient wait times
Healthray streamlined patient intake and coordination between departments, resulting in 45% shorter patient wait times.
-
30% faster patient onboarding
Digital forms and automated verification reduced manual steps, making patient onboarding 30% faster.
Before and After Healthray
| Area | Before Healthray | After Healthray |
|---|---|---|
| Medical records | Doctors relied on paper records for patient information | Doctors accessed patient information through electronic medical records (EMR) |
| Departmental information | Departments maintained patient records in separate software | Departments managed patient records through one integrated system |
| Surgical coordination | OT schedules, approvals and post-operative updates were tracked manually | OT schedules, approvals and post-operative updates were managed digitally |
| Patient onboarding | Manual data entry and verification added extra steps | Patient registration was handled through a digital workflow |
| Paper usage | 2,000 pages per day | 200 pages per day |
Is your hospital facing similar challenges?
