In their words
What the Floor Noticed
A consultant on how the record changed her clinic.
A patient would be sitting in front of me while someone went off to find her old file. Sometimes it never showed up. Now I type her name and the whole history is right there, so I can look at her first instead of waiting on paper.

The hospital
A Day Built on Paper
For years, every patient visit meant another sheet in a folder. The folders filled cabinets, and someone had to walk over and pull the right one by hand each time a doctor asked.
That worked when the hospital was smaller. At 150 beds and 12 departments, it stopped working. The file a doctor needed was often upstairs, or in use somewhere else, and the whole visit sat there waiting for it.
Where the day slowed
Four Places the Paper Caught
Nothing here was dramatic. These were four small delays that happened over and over, every day.
-
01 – Records Out of Reach
Pulling a paper file took minutes, and now and then it just could not be found. So a doctor either stood waiting, or re-ran a test whose result was already sitting in that same folder.
-
02 – Billing Left for the End
At discharge, someone added up the charges by hand off a pile of slips. The patient was ready to go home and still had to wait at the counter while that total got built.
-
03 – Pharmacy Running Blind
Stock and dispensing sat in different registers. A medicine could run low and nobody knew until it was gone, and what went out did not always line up with what the bill said.
-
04 – Numbers No One Could See
Occupancy and revenue were kept in registers. Ask how last week went and you waited days, because someone had to count it all up first.
The shift
One Record, Opened Anywhere
Healthray took those same four jams and moved them onto one system the whole hospital works from.
-
01 – The Record Opens Instantly
Notes, tests and prescriptions all live in one file. A doctor pulls it up at the bedside. Nothing gets fetched, and nothing gets ordered a second time.
-
02 – The Bill Builds Itself
Each charge posts the moment care is given. By the time the patient reaches the counter, the total is already done.
-
03 – Pharmacy on the Same System
Dispensing comes off livestock and goes straight onto the bill. Low stock shows up early, and nothing leaves the shelf unaccounted.
-
04 – The Week on One Screen
Occupancy, revenue, department load all of it updates as it happens. A manager can read today's numbers today.
Getting there
How the Switch Was Made
Healthray did it in three stages, and the wards never once went down.
-
Listen
Shadowed the Floor
Healthray spent a week sitting with each department, watching how its files, tests and charges really move.
-
Move
Carried the Archive
Twenty-five years of records were digitised and loaded, so no patient turned up to a blank screen.
-
Settle
Walked Beside Staff
Support stayed on the floor through the first live weeks, sorting out questions right at the desk.
The result
What Shifted After Go-Live
Measured and estimated across the first months on the system.
-
Files Pulled in Seconds
What used to take a runner a few minutes now opens on the ward in one tap. Rounds keep moving from one patient to the next with no gap in between.
-
Pharmacy That Reconciles
What gets dispensed now matches the bill, line for line. And low stock shows its hand before the shelf is empty, not after a patient has been sent away.
-
Discharge Without the Counter Wait
The charges are already in, so the discharge bill closes in minutes. The bed opens up and the family gets to leave at the same time.
-
A Week You Can Actually Read
The dashboards do the counting now. Management can see occupancy, revenue and load whenever they want it, instead of waiting days for a tally.
Does This Sound Like Your Hospital?
This story fits you if:
- Doctors wait on rounds while paper files are fetched
- Discharge bills are added up by hand from loose slips
- Pharmacy stock and billing don't match
- You wait days for occupancy and revenue numbers
