The decision
Why Lotus Hospital chose Healthray
In order to manage the admissions process, OT schedules, nursing workflows and pharmaceuticals at Lotus Hospital, there was a need for a more structured approach. The hospital selected the Healthray software, where all these aspects can be managed digitally in one system.
Managing different workflows across departments was challenging, especially when teams needed to coordinate information. Healthray has brought these workflows together on one platform, making it easier for our teams to access information, coordinate their work and manage daily operations. We have found it much easier to keep things organised across departments.

Managing Multiple Hospital Workflows
Lotus Hospital provides medical and surgical care, supported by dialysis, radiology, laboratory and pharmacy facilities. Its radiology department offers digital X-ray, sonography, colour Doppler and CT services.
As the hospital managed these activities across different teams, staff needed timely information to allocate beds, schedule procedures, hand over patient updates, and monitor medicine stock. Gaps in these workflows could slow down routine operations and make important updates harder to track.
The problem
Four Workflow Gaps Affecting Daily Operations
-
01 – Bed status gaps
Staff had to check whether beds were occupied, available or ready during admissions and transfers. Delayed bed-status updates could slow allocation.
-
02 – OT scheduling conflicts
Teams had to manage theatre availability and procedure timings across four operating theatres. Schedule changes could lead to conflicts between procedures.
-
03 – Missed nursing updates
Important patient updates could be missed during shift handovers when information was passed between nursing teams, leaving incoming staff without key updates.
-
04 – Late expiry tracking
Pharmacy teams had to monitor medicine expiry dates across stock. Late identification of near-expiry medicines left less time to act.
The solution
How Healthray helped Lotus improve hospital workflows
-
01 – Bed & Ward Management
Bed status was managed through a central workflow, helping staff check occupied, available and ready beds during admissions and transfers and allocate beds more efficiently.
-
02 – OT Management
OT schedules and theatre availability were managed digitally, helping teams coordinate procedures across the operating theatres and reduce scheduling conflicts.
-
03 – IPD EMR & Nursing
Patient updates were recorded in IPD workflows, giving nursing teams a structured way to review information during shift handovers and reducing missed updates.
-
04 – Pharmacy Management
Medicine stock and expiry information was managed digitally, helping pharmacy teams identify near-expiry medicines earlier and take action before they became unusable.
The setup
From setup to team adoption
Lotus Hospital worked with Healthray to transition its existing workflows to the new system.
-
Workflow setup
Workflows configured
The hospital's existing processes were configured in the system.
-
Data migration
Existing information transferred
Relevant hospital data was migrated into the configured workflows.
-
Staff training
Teams trained for daily use
Staff were trained on the workflows relevant to their roles.
The results
Results After Implementing Healthray
After implementing Healthray, Lotus Hospital improved its day-to-day operations.
-
30% faster bed allocation
Staff spent less time checking bed availability, allowing beds to be assigned faster during admissions and transfers.
-
25% fewer OT scheduling conflicts
Fewer clashes between procedures made it easier for teams to keep OT schedules organised.
-
30% fewer missed nursing updates
Incoming nursing staff had better access to the information they needed during shift handovers, reducing missed patient updates.
-
20% less medicine wastage
Pharmacy teams had more time to act on medicines approaching expiry, helping reduce avoidable wastage.
Before and After Healthray
| Area | Before Healthray | After Healthray |
|---|---|---|
| Bed allocation | Staff checked bed status during admissions and transfers | Bed availability was centrally managed for quicker allocation |
| OT scheduling | Theatre availability and procedure timings were managed separately | Theatre schedules and procedure timings were coordinated in one place |
| Nursing handovers | Patient updates could be missed during shift changes | Nursing teams could record and review patient updates during handovers |
| Medicine expiry | Near-expiry medicines could be identified late | Pharmacy teams could track expiry information and act earlier |
